Price Levels by Customer

You can set up different prices by customer (Customer Group) that will appear when the customer enters information into the Customer Portal – specifically when entering in In Residence Upsell items or when entering in Estate Requests. This functionality required the Estate Management application to function.


For example, you have a sales service code of Housekeeping, but this price varies depending upon the size and location of the property. You will assign different prices of this item to “Price Group”, and then assign a Price Group to a customer. Many customers can belong to a Price Group, so that you only need to update prices one time for it to affect all of the customers belonging to a Price Group.


Prices entered into a Price Group will override the standard prices you have in your QuickBooks system. Anything not entered into a Price Group will continue to use the QB standard price. Examples below.


To assign a Customer to a Price Group, open the customer in the Estate Management application and set their group using the dropdown as shown below.

Your list will initially be empty. You can create, or edit price groups, by selecting the “Manage Price Groups” link that is shown in the Price Group dropdown:

The Price Groups screen is pretty simple – it consists of two parts. The list of Price Groups on the left, and the Items associated with the Price Group on the right.


You can either select an existing Group and press the “Items” button to view or edit the items associated, or press the Add New Group button and enter the name of the new group. Then click the Items button to associate items and new prices to the group.

Press the Add New Group button, enter the description, then press Items and you will be presented with a grid to enter in the items you wish to associate with the new Price Group.

Select the Items in the Item ID dropdown, and enter the new price for this Group here. In this example, the Housekeeping service code is defined in QuickBooks with a price of $125. However, for our Condo Group, the price is less ($100) so we will enter $100 here. Continue to add additional Items to the Price Group as required.


Note that these prices override the prices associated in QuickBooks, and if you do not specify an item here the standard QuickBooks price will still be used.


An example of this might be that you have an “Airport pickup fee” in QuickBooks as $150. Since we are not defining the Airport Pickup item in this list, it will continue to be $150 when presented to the customer on the portal. However, if you have a Price Group for certain homes that are located further away from the airport, you can add Airport Pick to the Group and set the price at $200. Those customers will then see the new price rather than the standard price.


Any items you use for Requests or Upsells can be set up in the Price Groups. As mentioned above, any items not defined will continue to use the standard price defined in QuickBooks. Any Customers that are not associated with a Price Group will also continue to see the standard price.
