Contracts: Standard HWIT Templates and Contract Creation

Contracts are generated from a Contract Template -- so it is important to create a proper working template as the first step.


Creating a template for your Contracts is quite simple.  In the Contract Template Maintenance click on Add a New Template, then fill in the Name, Heading, and Body areas.


Within the Heading and Body areas you can embed any number of variable fields, which will be replaced with the respective HWIT data when you generate a Contract for a client.  There is an easy link in the upper corner of the screen where you can open the Help Document listing the available fields.

When the system creates a new Contract from this template, the Heading portion will be used to generate the top portion (Title), and the Body will generate the main part of the contract.  The Signature will automatically be asked for at the bottom of the contract.

When you are ready to create your first contract, go to the Create Contract screen, select the Contact you wish to send the Contract to and the Contract Template you wish to use.

Click Generate to create the new Contract from the Contract Template.


You will see the newly generated Contract appear and will see that the variable fields have been replaced with proper values.   Those have been highlighted in the screenshot below to make them more visible.

You are now able to make any additional edits required to the contract -- setting up prices, dates, etc. as necessary.  Once everything is good to be sent, hit the Save and Send button.

The email to be sent to your customer will be generated and displayed.  Feel free to make any edits to the email as necessary before sending.


If you want the customer to provide the "Intake Information" check the Ask Info Questions checkbox before hitting Send.


Once the Contract is signed you will be notified by an email and the Contract List will now show the contract as signed and provide a signed copy.  You will not be able to make edits to a contract once it has been signed.
