V24 Updates from V23

These notes are meant to supplement the existing V23 videos and notes. Once the final release of V24 is ready new videos will be recorded to document all of the features. In the meantime please use these notes to guide you through the system. If you have any questions please let us know and we will then update the notes to reflect those questions.


Currently the app is complete with the sole exception of the Scheduling and Scheduling integration with MonitorQA. Once that is complete the document will be updated and additional functionality will be added.

Desktop Version

There are now two distinct versions of the software – one that runs on the Desktop and the other for mobile use. The desktop version will start with a nice dashboard that encompasses several different views in one page. You can click on any of the customer information in order to filter all of the views on the page.

Property Edit

The Property Edit screen now has multiple tabs in order to make it easier to reach the information. You can click through the tabs as necessary to get to the respective information, but note that the Save button only exists on the final (Invoicing) tab.

The Reports Tab has new information:

  • Report Send Options allows you to define if you want to send the report automatically by Email, by Text message, or by Both. You need to set up the automatic sending on the Company Screen.
  • The Default Report Template defines which MonitorQA Template you want to use for regular home visits to this client.

Reports for this Customer will list all reports defined for the customer and you can click on them here to go to the Report Details screen

On the Invoicing Tab, you can define how you wish to Invoice this customer. The important fields for Invoicing include:

  • Visit Rate – which defines how much to charge for each home visit
  • Home Watch Item ID – this is from the Items screen. If you are using QuickBooks these IDs will sync from QB. if you are not using QB you will need to define the Item Codes to use for billing on the Items screen.
  • Terms – if you are using QB these terms will sync automatically from QB, and although not mandatory, it is recommended that you pick the terms you wish to assign to the invoice so that the due date is properly calculated

Syncing is Now Faster

When you update the property, or make any changes to data, the system does not force a sync like previous versions. Instead, it “queues” syncing the data and does it in the background instead of making you wait 5-10 seconds while it syncs, or updates, the data on the main server.

If you make a change to the data you will see the sync icon update in the upper right and also show how many data changes need to be made. Once the data is synced the orange number will disappear letting you know that data on the phone is fully coordinated with the data on the server.

The Reports List

Reports will now sync to the system for both completed and uncompleted reports listed in MonitorQA. Note that the system will allow you to save/track reports for the previous 12 months

Clicking on a Complete report will bring up the details of the report as shown on this screen. You can click the Open icon next to the report URL in order to open the report itself.

Opening a Not Complete report will bring up the details as shown on this screen. You can delete the report if you wish, and this will also delete it from MonitorQA (this is for one-time reports only, scheduled reports will be updated a different way once Schedules are added to the system).


You can click on the “Open Report” button in order to open the report in MonitorQA and be able to take and complete the report there.

Schedules

You can now easily maintain all of your schedules directly in the HWIT Application -- the schedules will update and sync with MonitorQA and keep your upcoming audits up to date.  For more details on this please view this video.

Items to Bill

You can save items you wish to bill to the customer by clicking the Items to Bill icon, which appears in several places to make entry easier. Items to Bill are basically all of the things that you wish/need to invoice your customer for at the end of the month.


Weekly Home Visits will be added automatically. Currently, when you complete a report in MonitorQA it will create this line item automatically for you, as long as you have a default Item configured on the Customer’s Property screen. Note that all reports will generate a Home Visit item – this will change once the Scheduling items have been added to the system.

When clicking on the Items to Bill option on the bottom of the screen you will see all items waiting to be billed, sorted by customer along with a subtotal provided.


You can add additional charges easily by clicking the Plus button, which will take you to the detail screen as described next.


If you are not using QuickBooks, you can use this screen to easily view and cut/paste all of the things you want to bill for at the end of the month – this screen allows you to collect all of the charges at the time you incur them so that it is easy to invoice using this complete list.

You can use this screen to Add, Edit or Delete any items you wish to put on the customer’s invoice.


Simply fill in each of the fields, selecting the Item ID (which comes from the Items files as described later). The Description is what will display on the customer’s invoice.

Create Invoices

This screen will be used to generate invoices in QuickBooks, using all of the Items to Bill that were entered on the screens shown above. Each charge will become a line on the invoice when the invoice is created. Once created and sent to QuickBooks, the details on the Items to Bill screen will be deleted.

If you are not using QuickBooks, this same screen will be used to Delete the Items to Bill entries at the end of the month.

Company Screen new Items

Some new items on the Company Screen include:

  • Accounting System – this will display which accounting system you have integrated (currently only QuickBooks Online is supported)
  • Sync MQA Templates – if for some reason you need to resync templates from MonitorQA you can turn that on and then Save in order to resync.
  • Sync Items – will sync your items from QuickBooks. Use this any time you update or enter new Items. Turn on the Sync and hit Save to perform the update. You should remember to sync your app after a minute so that all changes will be reflected. This will also sync the Terms codes in addition to the Items.
  • Default Items for Home Visit – select which of your Items codes should be the default to be used when creating Billing Items automatically from each report completed.
