Automatically loading Guesty Rentals into the RBO System

You can load or import rental information from your Guesty Customer Portal directly into the HWIT RBO Rental program. This involves using the CSV export option provided in the portal and sending the downloaded csv to a designated email address. The rentals will then be either created or modified based on the contents of the file.
Note that after the import you will need to go into the rentals to add housekeeping and inspection info, just as you would if the booking information was entered into the Customer Portal.
To set up your system to accept the import file, you need to let the system know which email address(es) you will use to send the email from. This email address is used to determine which company sent the email and which company the records need to be imported into.
To set your sending email address, click on Preferences from the RBO Management tile on the dashboard.
Enter your sending email address and press Save.
Once set up, you are now ready to get the CSV file from your Guesty Portal. Log in, Select Reservations at the top and then Upcoming Bookings Report as a starting point. It should default to only future bookings. Don’t download all the historical items, as only new bookings will be imported.
The first time you will need to set up a new report using the format specified here. You can select the columns using the columns selection on the right side of the screen. You can save the report format so that it will be easier for you to bring it up in the future, without having to select columns and reorder them.
And then you can drag the columns around to make sure they are in the proper order. You can have more columns on the report than shown here, but the first twelve columns must match the sequence shown here.
The first 12 columns, and the required sequence is:
- CHECK IN
- CHECK OUT
- CONFIRMATION CODE
- LISTING'S TITLE
- LISTING'S NICKNAME
- GUEST'S NAME
- GUEST'S EMAIL
- GUEST'S PHONE
- LISTING ADDRESS FULL
- SPECIAL REQUESTS
- NUMBER OF ADULTS
- NUMBER OF CHILDREN
Download the file and a CSV file will be created in your Downloads folder on your computer. To download the CSV, press the download button in the upper right.
One important thing to note about this import file – the street address in your Guesty system must match the address in your HWIT system. If the address does not exist in HWIT the record will not be imported and you will be notified via an email of this issue.
Now, all you have to do is email this csv file to [email protected] from the email address that you entered earlier. After a few seconds the system will process the file and send you an email listing any issues with the import.
Once complete, you will see the newly imported (or modified) records in the red section at the top of your RBO List. Simply click on each, add housekeeping and inspection if necessary, and Save the item. Your booking is now fully entered and set up.
